Who is Adyen?

Adyen is a global fintech leader providing payment solutions for enterprises like Uber, Spotify, and Booking.com. Founded in the Netherlands in 2006, Adyen has grown to employ over 4000 people in 27 offices across the globe, and processed over $1.35 trillion in payment volume in 2024.

What was the challenge?

As a fast-growing fintech company, Adyen faced critical operational bottlenecks that threatened their ability to scale efficiently. Processing 100,000+ annual invoice pages from suppliers using inconsistent formats across 23 countries was becoming unsustainable for their centralized 12-person AP team in Amsterdam.

Business objectives

Adyen’s finance operations team sought to maintain its reputation as a reliable payer while scaling efficiently across global operations.

Solution phase 1: Invoice automation and Workday integration

As the first step, in 2023, Adyen deployed Rossum’s end-to-end intelligent document processing solution integrated with Workday:

  1. Invoices land in a centralized inbox and are automatically forwarded to Rossum.
  2. Rossum routes documents to correct workflows, depending on document type. For example, Nota Fiscals (Portuguese invoices) and Boletos (a proforma invoice) are processed separately.
  3. Rossum checks for duplicates, performs tax and cost center coding based on master data imported from Workday, and performs various validations.
  4. At the end of processing, the data and the original document file is sent to Workday.

The integration with Workday enables supplier matching, and if none is found, users can create new suppliers in Rossum and send the information to Workday, where the new supplier is approved.

The outcome of this phase was the automation rate of 74.8% on average, which freed the AP team from an unsustainable manual workload.

Solution phase 2: Coupa integration

In 2025, Adyen implemented Coupa to improve their supplier onboarding process and supply chain management. While this resulted in improved governance, the AP team had to deal with hundreds of new unautomated invoices a week that needed to go to Coupa.

Based on the positive experience with the Workday integration, the AP team at Adyen turned to Rossum. In just three months, the new flow was designed, tested, and implemented.
